Scanning via Email: Setup and Usage
PaperScorer’s email-scanning feature lets you send scanned answer sheets directly to a special email address for processing. It’s ideal if your school uses a copier that can email scans, or if you receive sheets as PDF attachments and want to skip the web upload step.
How It Works
When you email a PDF or image to scan@paperscorer.com , PaperScorer:
- Receives the email and extracts the attachments.
- Matches the sender’s email address to a PaperScorer user account.
- Creates a new bulk upload under that user’s account.
- Sends you a “Scanning Started” confirmation email.
- Processes each page and updates the results in your web app.
- Sends you a “Scanning Complete” email with a summary and links to each scanned sheet.
Before You Begin
Critical requirement: the email must be sent from the same email address that’s on your PaperScorer account. If you send from a different address (e.g. a personal address instead of your school address), PaperScorer can’t identify whose account to use and the scans won’t appear in your results.
To check your account email, click your profile avatar in the top-right corner and open Manage Your Account. Your email is shown under contact details.
Supported File Types
Email scanning accepts the same file types as the web upload:
- PDF — multi-page PDFs are automatically split into individual pages.
- JPG / JPEG
Other attachment types (Word documents, ZIP files, etc.) are rejected with a notification email.
Sending Your First Scan Email
From your computer
- Compose a new email in your preferred email client.
- In the To field, enter
scan@paperscorer.com. - The subject and body can be anything — they’re ignored.
- Attach your scanned PDF or image files.
- Send.
Within a few minutes you’ll receive a confirmation email that scanning has started. Results follow once processing finishes.
From a multifunction printer or copier
Most modern office copiers can scan documents directly to email. To set this up:
- On the copier’s touchscreen, find the Address Book or Email settings.
- Add a new contact named PaperScorer with the address
scan@paperscorer.com. - Configure the copier so the “From” address it sends as is your individual email (the one on your PaperScorer account), not a shared office or device address.
- Save the contact.
Now you can select the PaperScorer contact at scan time and your scans go directly into your account.
TIP: if your copier can only send from a shared office address (e.g. copier@yourschool.edu ), you won’t be able to use email scanning — PaperScorer wouldn’t know which teacher’s account to credit. Use the bulk web upload instead.
Email Confirmations and Results
You’ll receive two emails per scan batch:
1. “Scanning Started” email
Sent shortly after PaperScorer receives your email. Confirms:
- The number of files received
- A reference identifier for the upload (useful in support requests)
2. “Scanning Complete” email
Sent when all pages finish processing. Includes:
- Total sheets, success count, and failure count
- For each failed sheet: the reason it failed and a link to view the image
- For each successful sheet: a link to view the scanned image
- The same reference identifier from the “Started” email
Common Issues
I didn’t get a confirmation email.
Check your spam folder first — PaperScorer emails can sometimes land there. Verify the sender address matches the email on your PaperScorer account exactly. Wait a few minutes; emails are processed in batches, not instantly. Confirm the attachment type is PDF or JPG.
I got an “invalid attachment” email.
You sent a file type PaperScorer doesn’t support (e.g. Word document, ZIP file). Re-scan the document as a PDF and try again.
My scans didn’t appear in my account.
Make sure you’re signed in to the correct PaperScorer account. Verify the sending email address matches your account email exactly — even a different capitalization on the domain can cause this. Go to Upload & Score and check the upload history; email scans appear there.
My district’s email filter is rejecting outgoing mail to scan@paperscorer.com .
Ask your IT team to allowlist paperscorer.com for outbound mail. See Whitelist Requirements for Locked Down Environments.
Security and Privacy
- Only the email address that sent the attachment can access the resulting scans — they’re attached to that user’s account, not visible to anyone else.
- Attachments are stored in your PaperScorer account just like web uploads.
- PaperScorer doesn’t read or store the subject line or body of your email — only the attachments are processed.
- If you accidentally send a scan from the wrong email address, contact support@paperscorer.com and we’ll help you recover it.
