Managing Enterprise Users and Invites

Enterprise administrators can invite teachers, manage existing members, and configure organization-wide settings from the enterprise control panel. This article walks through the Manage Members workflow, pending invites, and the available enterprise settings.

The features in this article are available only to users on an Enterprise PaperScorer plan, and only to users with the appropriate enterprise permissions (Manage Users, Manage Invites, or Manage Settings).

Required Permissions

Enterprise functionality is gated by per-area permissions assigned to user groups. The relevant ones are:

Enterprise Client: Manage Invites Sending, resending, and deleting invitations.
Enterprise Client: Manage Settings Changing organization-wide settings.
Enterprise Client: Manage Connections Setting up LMS/SIS integrations for the organization.
Enterprise Client: Manage Shared Assessments Managing assessments shared across the enterprise.

If a user can’t access an area you expect them to see, the most common cause is a missing permission on their user group.

Accessing Member Management

  1. Sign in as an enterprise administrator.
  2. From the main navigation, open the enterprise menu and pick Manage Members.
  3. The page opens with two tabs: Users and Invites.

The Users Tab

The Users tab lists every current member of your enterprise. Common columns include the member’s name, the user group they’re assigned to, and a row-level Actions menu.

Searching and Filtering

Use the filter bar to narrow the list by name or user group. The filter is useful in larger districts where the member list runs to the hundreds.

Editing a User

Open the row’s action menu and choose Edit to change a member’s user group assignment or details. Changes take effect immediately.

Removing a User

Choose Delete from the row’s action menu to remove the user from your enterprise. Removing a user:

  • Revokes their access to your enterprise’s shared resources.
  • Does not delete their past assessments or scans — those remain attributed to the billing period in which they happened.
  • Does not delete the user’s underlying PaperScorer account — they can still sign in, just without enterprise privileges.

Impersonating a User

If your enterprise has impersonation enabled and you have admin privileges, you can briefly sign in as another user to help them troubleshoot — useful when a teacher describes a problem you can’t reproduce.

  1. From the row’s action menu, choose Impersonate.
  2. You’ll be signed in as that user; an impersonation banner appears at the top of the screen.
  3. When done, click Switch Back in the banner to return to your own account.

IMPORTANT: every impersonation event is logged for auditing. Use it only for legitimate support and never to access private student data outside of a help request.

The Invites Tab

The Invites tab lists invitations you’ve sent that haven’t been accepted yet, along with any that have expired. Each row shows the invited email address, status, and per-row actions to resend or cancel.

Resending an Invitation

If a teacher tells you they never received your invite (check the spam folder first), use the row’s Resend action to send a fresh email.

Cancelling an Invitation

Use the row’s Delete action to cancel a pending invite. Once cancelled, the recipient can’t use the original invite link to join.

Invitation Expiry

Invitations expire automatically after 7 days. Expired invites are cleaned up by a daily background job, so you may see them in the list briefly before they disappear. If a user needs more time, just re-invite them.

Inviting New Members

  1. From the Manage Members page, click Invite Members.
  2. Enter one or more email addresses (one per line, comma-separated, or semicolon-separated — you can paste straight from a spreadsheet).
  3. Pick the user group each invitee should be assigned to (this determines their permissions inside the enterprise).
  4. Optionally add a personal message that’s included in the invitation email.
  5. Click Send Invitations.

Each invited email gets a link they can use to either create a new PaperScorer account or attach an existing one to your enterprise.

TIP: think about user-group placement in advance. Most districts use one group for administrators (with manage permissions) and a separate group for classroom teachers (with day-to-day permissions but no settings access).

Enterprise Settings

Users with Manage Settings permission can configure organization-wide settings that affect every member of the enterprise.

Where to find them: from the enterprise menu, choose Manage Settings.

Available Settings

Setting What It Does
Require Two-Factor Authentication Forces every enterprise member to enable 2FA on their PaperScorer account.
Enable Beta Features Opts your enterprise into experimental features still in testing.
Enable Danger Zone Surfaces advanced / destructive operations in the UI. Enable only if administrators are trained to use it.
Enable Google Classroom Allows members to connect their Google Classroom accounts to PaperScorer.
Enable Add Class Lets members create classes from inside PaperScorer. Disable for centrally-managed rosters.
Enable Add Student Lets members create students from inside PaperScorer. Disable for centrally-managed rosters.
Enable Student Review Links Allows members to generate student review links for assessments.

When to Disable Add Class and Add Student

If your district syncs rosters from a student information system (SIS), disabling these toggles prevents teachers from creating one-off classes or students manually. That keeps your PaperScorer data aligned with your authoritative SIS roster and eliminates duplicate / mismatched records that would otherwise break LMS syncs.

When to Require Two-Factor Authentication

If your enterprise handles sensitive student data (likely if you’re a K–12 district in the United States subject to FERPA), we recommend turning Require 2FA on. It forces every member to enroll in two-factor authentication before they can sign in.

User Groups and Permissions

Enterprise members are organized by user group rather than fixed role names. The permissions a member has are determined by the user groups they belong to, and your enterprise can be configured with as few or as many groups as you need.

Typical configurations look like:

  • Enterprise Administrator — full manage permissions (Users, Invites, Settings, Connections).
  • Teacher — standard scanning and grading permissions; no admin permissions.
  • View Only — read access to reports and usage; no editing or scanning permissions.
